We are looking for an admin assistant to help keep the calm on the inside of our firm.

The Role
Your mission is to keep everything inside the firm on the rails. You are our primary force toward order and organization. Your areas of accountability will include: calendar and email management for the CEO, internal software management, general office management, purchasing and logistics, lite HR, customer information management, client contract management, and firm bookkeeping and payroll.
You will report directly to the CEO but will also interact with the accounting team and with clients directly.

This role is 100% remote, but not necessarily a job for nomads. You must have a quiet, secure, dedicated work space. Ideal work hours would be Monday-Friday, approximately 8 am to 2 pm PST.
Responsibilities
Manage email and calendar for CEO
Manage team calendar and assist with scheduling and time tracking
Manage documents and digital files
Create various weekly and monthly reports
Purchasing and logistics
Manage HR policies and assist with onboarding/offboarding employees
Run firm payroll
Maintain firm bookkeeping
Track CPE for CEO and team members
Manage internal firm software (access, implementations, updates, etc.)
Manage firm security measures
Maintain key areas of firm knowledgebase
Maintain client database
Assist with client contract management
Assist with onboarding new clients
Resolve admin issue with clients, including billing, paperwork requests, app management, etc.
Other duties and projects as assigned
Some personal/family research and assistance tasks (research, travel, purchases, schedule) for CEO may be included
Hours and Compensation
25-30 hours/week
Flexible schedule, but prefer 5 mornings/week
$25/hour
3% retirement match
Preferred Qualifications
Experience as an executive assistant
Experience working in a professional services environment
Experience with a remote work environment
Experience with implementing new software technologies

Outsourced Client Controller
The Role
The primary areas of accountability for the Client Controller include:
Mentor and support Client Service Managers (bookkeepers)
Own the month-end close process and prepare financial statements for clients
Design accounting procedures and policies for clients
Set up accounting systems for clients and clean up messy QuickBooks files
Maintain wine costing systems
Consult on accounting technology with clients
Custom management reporting for clients
Solve accounting problems with clients
Qualifications
The ideal candidate would have the following:
Education and Experience:
BA or MA in Accounting (CPA a plus)
2+ years directly related work experience. We value experience in public accounting, wine industry, cost accounting, and outsourced client accounting services.

Compensation Range:
$65K+ depending on experience + benefits

Outsourced Client CFO
The Role
The primary areas of accountability for the Client CFO include:
Work with small winery owners to help them make their businesses more profitable
Prepare forecasts and custom management reports for clients
Prepare statements and other documents for potential lenders
Work with clients to manage short-term and long-term cash flow
Lead regular financial advisory meetings with clients
Qualifications
Education and Experience:
MBA with a finance concentration
5+ years directly related work experience
Compensation Range:
DOE, contract work may be an option
