Team Approach
At Northwest Wine Accounting, every client works with a “Team of 3”.
Your Client Services Manager will handle your bookkeeping and payroll and manage your accounts payable and accounts receivable.
Your Client Controller manages the overall accouning system set up, accuracy, and reporting. They support the CSM, handle the wine costing calculations, completethe month-end close process, and manage your accounting system.
Your Client CFO manages the forward-looking function of your winery. You have the option of working with your CFO monthly, quarterly, or annually.
Weekly Rhythms
Our team is in your books at least weekly, if not more often.
We code transactions from your bank feeds in QuickBooks Online and the receipts and vendor bills you submit via email or our mobile app.
We reach out to you via email or app with any questions on transactions.
We process payment on approved bills.
We process payroll on your pay schedule.
Robust Month-End Close
Our month-end close process includes:
Recording sales by channel and location from your POS.
Reconciling deposits to sales.
Processing sales and excise tax (B&O).
Monthly wine costing calculations
Reviewing the bookkeeper’s work
Reconciling all bank, credit card, loan accounts, tips payable, and other key balance sheet accounts
Monthly Reporting
No longer will you be waiting months to find out what your bottom line is. We publish a reporting pack each month which includes your monthly and YTD Profit & Loss and Balance Sheet.
We publish reports on an accrual basis so you can keep in accurate view of your profitability. If you are on a cash basis for tax, we can provide cash basis reports to your tax preparer at the end of the year.

We communicate mainly by email, but we are also available by phone during normal business hours.

We collect receipts and vendor invoices from you using an app called Dext Prepare. You can submit docs by email, mobile app, or via a web browser.
We use an online bill pay platform manage accounts payable. It works much like your online banking bill pay system.We connect your bank feeds to QuickBooks Online and we also request online read-only access to your business bank accounts so that we can download statements and view check images.
We also request access to systems such as OrderPort, Vinoshipper, and Innovint, so we can access the information we need. -
We use QuickBooks Online as our primary platform. We can convert your file from QuickBooks Desktop or another platform to QuickBooks Online.

Yes! We use either Gusto or OnPay to manage payroll. Our team always provides support for your payroll setup, onboarding and offboarding employees, any issues with payroll tax filings, and integration with QuickBooks. You can also upgrade to full-service payroll processing.

Yes! We can help with customer invoicing and with bill pay. We are happy to demonstrate the systems we have set up to handle these tasks remotely and securely.
